Terms of Use

1. Authorized business use

CargoFlow is intended for authorized business users who have been given an account by the organization deploying the application. You may use CargoFlow only for legitimate logistics, freight, import, customer-service, documentation, tracking, billing, carrier-integration, and related operational work permitted by that organization.

2. Account responsibility

Users are responsible for protecting their credentials, authentication devices, and recovery codes. Do not share an account or intentionally bypass CargoFlow's access controls. Notify a CargoFlow Administrator if you believe an account or device has been compromised.

Administrators may assign, change, suspend, or deactivate user access based on business or security needs.

3. Operational responsibility remains with the user and organization

CargoFlow helps organize work, calculate priorities, display tracking information, and automate reminders, but it does not replace professional judgment or required carrier, customs, legal, regulatory, or compliance procedures.

• Users remain responsible for verifying shipment references, dates, quantities, weights, documents, customs or regulatory filings, delivery instructions, rates, approvals, and deadlines before taking action.
• Carrier, Gmail, tracking, ETA, milestone, and third-party information can be delayed, incomplete, unavailable, or incorrect.
• An alert, reminder, automation, or lack of an alert does not excuse a required operational action.

4. Acceptable use

Do not use CargoFlow to gain unauthorized access, interfere with the service, introduce malicious code, scrape or extract data without authorization, impersonate another user, bypass role restrictions, or use connected services in violation of their terms.

Business records should be entered only when the user is authorized to handle that information for the deploying organization.

5. Connected services

CargoFlow may connect to Google Workspace, ocean carriers, tracking providers, hosting/database providers, or other external services. Those services remain subject to their own availability, terms, privacy practices, credentials, rate limits, and technical requirements.

Connecting Gmail to Carrier Inbox grants CargoFlow read-only access for the purpose described in the Privacy Policy. CargoFlow does not gain permission to send, delete, or modify Gmail messages through that connection.

6. Business records and ownership

Shipment, customer, document, communication, audit, and other operational records entered into CargoFlow are business records controlled by the organization deploying the application, subject to that organization's policies and applicable obligations.

Users should not delete or alter records in a way that conflicts with business, contractual, legal, audit, or compliance retention requirements.

7. Availability and changes

CargoFlow may be updated, repaired, temporarily unavailable, or changed as features, security controls, providers, and business requirements evolve. Reasonable efforts may be made to preserve reliability and data integrity, but uninterrupted or error-free operation is not guaranteed.

8. No absolute guarantee of third-party information

Tracking, ETA, carrier events, Gmail matching, automated classifications, calculations, and system-generated recommendations are operational aids. They should be verified against authoritative documents or provider information when a decision has financial, customs, regulatory, customer, or delivery consequences.

9. Privacy and removal

CargoFlow's handling of information is described in the Privacy Policy. Information about disconnecting Google access, deactivating accounts, and requesting removal of stored records appears in Data & Account Removal.

10. Enforcement

Access may be limited or disabled when necessary to protect CargoFlow, the deploying organization, customers, carriers, connected systems, or other users, or when these terms or organizational policies are violated.

11. Changes to these terms

These terms may be updated as CargoFlow's features, security controls, and operational use change. Continued authorized use after an update is subject to the revised terms and any additional rules established by the deploying organization.
